TERMS OF BOOKING

These terms apply to each individual when booking as a group. It is advised that you take out your own personal accident / cancellation insurance.  The person or persons making any booking with Northcol Adventure are referred to as the ‘client’.

 

Insurance and Loss

Northcol Adventure activities, adventures and instruction bookings do not include any personal accident, cancellation, third party liability or personal insurance. We recommend that you take out your own policy. Northcol Adventure, its instructors and Colin Woolford will accept no responsibility whatsoever in respect of loss or damage to personal property.

You will be liable to us for any damaged caused, either directly or indirectly, by acts or omissions, to the equipment we lend you as part of the activity, or to our vehicles or any premises used during the activity.

 

 

Bookings, Fees, Costs and Deposits.

For each booking each group or individual taking part must complete a booking form and then for each individual a Participation form or Parental Consent form .  A deposit of £120 or the whole cost if less will be paid per booking.

In the event of larger group bookings, particularly at short notice the usual deposit of £120 may be increased. This will be confirmed at the point of first contact usually telephone or email.

Only on receipt of completed booking form(s) and deposit or full payment will a booking be guaranteed.  Payment is preferred by BACS or PayPal.  Cheques are accepted, but any booking paid for by cheque will not be guaranteed until this has cleared.

 

All fees must be paid in advance of the activity or adventure booked

In the event that the full fee is not paid 30 days prior to the agreed date Northcol Adventure reserves the right to treat the booking as cancelled by the client and re-sell the date.

If payment procedures are not adhered to, Northcol Adventure reserves the right to cancel your booking with no refund of any payment.

 

 

Cancellation by Northcol Adventure

Whilst every attempt is made to ensure that agreed adventures and activities take place, Northcol Adventure will notify the client of cancellation as soon as possible by phone and email where it believes on reasonable grounds that cancellation is necessary due to dangerous and / or unsuitable conditions for the course activity.

In the unlikely event that Northcol Adventure must cancel your booking, you will be offered either a full refund or another date.

Northcol Adventure will not be liable for any travel or accommodation related expenses.

We do not accept any responsibility for any aspect of your activity affected by matters  over which we have no control, for example weather conditions, industrial disputes, terrorism, delays, acts of God, war, quarantine, sickness or any other cause

 

 

Cancellation by the client

A cancellation by the client must be in writing by post or email.

Once notified of the cancellation in writing, Northcol Adventure will try to resell the date.

In the event that Northcol Adventure is unable to resell the date the client will be charged the following cancellation fees:

 

Where notice is 30 days or less, no refund will be given.

If notice is 30 days or more, Northcol Adventure will refund your payment in full.

During the activity or adventure

A member of our staff, or an outside contractor suitably qualified and experienced, appointed by us, will lead your activity.  Their instructions are vital for the safety and enjoyment of the group. They are empowered to stop the activity should their instructions be wilfully ignored or members of your group are acting in a way that might endanger themselves or others. The Group Leader should ensure all members of your group are aware of these points.

 

The number of clients taking part in the activity must not exceed the number stated on the booking form. Any additional person(s) joining the group as an observer, for example, will not be Northcol Adventure’s responsibility in any way. In any event, it is usually not possible for non-participants to follow the activity due to potential access problems.

 

All persons taking part in the activity must complete, sign and date a Northcol Adventure Participation Form or, if under the age of 18, a Northcol Adventure Parental Consent Form which must have been fully completed, signed and dated by the parent or guardian of the young person(s) concerned prior to the group arriving to take part in the activity. These forms are available from the office and will be sent out following our initial discussion with a booking form. These forms are mandatory as a condition set down by our insurers.

 

You should be aware that the activities will probably be taking part in areas of natural beauty and or National Parks and you should tell your group not do anything that might harm that environment. We will be pleased to give advice on safeguarding the natural environment.

 

Your group must arrive at the appointed time for the start of your activity. If you arrive late it might not be possible to complete the allocated duration of the activity, or to run the activity at all.  Any curtailment or cancellation will be at our sole discretion.

No pets are allowed on activities unless agreed in writing at time of booking by Northcol Adventure.
